5. Acknowledgement of Complaints
BulkVyapar aims to acknowledge a grievance within 24 hours of receipt in accordance with the applicable intermediary grievance framework.
An acknowledgement means that the complaint has been received for review. It does not mean that the allegations have been accepted as true or that the requested action will automatically be taken.
6. General Resolution Timeline
Subject to faster timelines that apply to specified categories, BulkVyapar aims to resolve grievances within 7 days from the date of receipt where the amended IT Rules apply.
A matter may require requests for clarification, evidence review, contact with the affected seller/user, technical investigation or legal review. BulkVyapar will nevertheless act within any mandatory timeline applicable to the specific grievance.
7. Expedited Removal or Disablement Requests
Certain grievances requesting removal or disabling of access to information covered by the applicable intermediary rules are subject to an expedited timeline.
Where the relevant legal provision applies, BulkVyapar will take an appropriate decision and act within the applicable 36-hour period for the specified category of removal/disablement grievance.
8. Intimate, Nude, Sexual, Morphed or Electronic Impersonation Content
Where a qualifying complaint concerns content exposing a person's private area, showing nudity or sexual conduct, or electronic impersonation including artificially morphed content, BulkVyapar will treat the complaint as an urgent victim-protection matter.
Where Rule 3(2)(b) of the amended IT Rules applies, BulkVyapar will take reasonable and practicable measures to remove or disable access to the specified content within 2 hours of receipt of the complaint.
The complainant should provide the exact URL or other information necessary to identify and locate the content.
9. Court Orders and Authorised Government Intimations
BulkVyapar will comply with lawful court orders and reasoned intimations from duly authorised government officers or agencies where applicable.
Under the 2026 amendments to the IT Rules, the actual-knowledge timeline under Rule 3(1)(d) has been reduced to 3 hours for the specified unlawful information after receipt of the applicable court order or properly issued reasoned intimation.
BulkVyapar may preserve appropriate records of the order/intimation and the compliance action.
10. Immediate Safety or Security Action
BulkVyapar may temporarily restrict, suspend or disable a listing, account, link or feature before completing a full investigation where immediate action is reasonably necessary to reduce fraud, security risk, unlawful activity, privacy harm or risk to users.
Temporary action does not necessarily constitute a final finding of wrongdoing.
11. Review of Seller Listings and GST Complaints
Where a complaint raises concerns about GST status, seller identity or inconsistent business information, BulkVyapar may place the listing under review and re-check the submitted GSTIN or related business details using the relevant Government GST search facility or another appropriate official/public source.
BulkVyapar's verification remains limited in scope and does not ordinarily involve a physical visit to the seller's premises.
A listing may remain suspended or pending until the seller supplies satisfactory corrected information.
12. Fraud and Payment Complaints
BulkVyapar may review platform misuse where a buyer or seller alleges fraud connected with a listing, inquiry or account.
BulkVyapar does not presently collect or hold independent buyer-to-seller payments and does not adjudicate every commercial payment dispute between users.
Where appropriate, BulkVyapar may preserve platform records, restrict a suspicious account/listing and cooperate with a valid lawful request from competent authorities.
13. Privacy and Personal-Data Grievances
Users may use the same grievance email for privacy questions, correction or deletion requests, suspected misuse of buyer inquiry data and other personal-data concerns.
BulkVyapar may verify the requester's identity before disclosing, correcting or deleting account-related personal data.
Privacy requests will be handled in accordance with the Privacy Policy and applicable data-protection law.
14. Intellectual Property Complaints
Rights holders may report listings, images, logos, descriptions or other content alleged to infringe copyright, trademark or other intellectual-property rights.
The complaint should identify the protected work/mark, the allegedly infringing material and the complainant's basis for claiming rights or authority.
BulkVyapar may temporarily disable content while reviewing a sufficiently supported complaint and may seek a response from the uploading user.
15. Synthetically Generated Information and Deepfake Complaints
BulkVyapar may receive or host user-supplied images, audio-visual material or links in connection with business listings or platform use. Unlawful synthetically generated information, including deceptive impersonation, non-consensual intimate imagery or other unlawful deepfake content, may be reported through the grievance channel.
Where applicable, BulkVyapar may remove or disable access, preserve relevant evidence and take account action in accordance with the IT Rules and other applicable law.
Routine good-faith editing, formatting, accessibility improvements or ordinary document preparation are not automatically treated as prohibited synthetic information merely because AI tools were involved; the applicable legal definition and context will be considered.
16. Preservation of Evidence and Records
BulkVyapar may preserve relevant platform records, complaint correspondence, account information, audit logs and other evidence where reasonably necessary for investigation, legal compliance, fraud prevention, dispute handling or a lawful request.
Removal of content does not necessarily require immediate deletion of all associated records where preservation is required or permitted by law.
17. Notice to the Affected User
Where appropriate and legally permitted, BulkVyapar may notify the user whose listing or content is under review and may request an explanation, correction or supporting evidence.
BulkVyapar may withhold or limit notice where doing so would violate law, compromise an investigation, create material security risk or defeat an urgent protective action.
18. Good-Faith Review and No Automatic Acceptance
Submitting a complaint does not automatically establish that the reported user or content has violated law or policy.
BulkVyapar may consider the complaint, available evidence, the affected user's response, platform records and applicable legal requirements before taking final action.
Knowingly false, abusive or bad-faith grievances may themselves violate BulkVyapar policies.
19. Possible Outcomes
- No action where the complaint is unsupported or no violation is found.
- Request for additional information or correction.
- Warning to the relevant user.
- Temporary restriction while verification continues.
- Correction or removal of a listing or content.
- Suspension or termination of an account.
- Removal of a verification indicator.
- Preservation of evidence or cooperation with lawful authorities.
- Another action reasonably necessary under applicable law or BulkVyapar policy.
20. Appeals and Further Remedies
Where the Information Technology Rules provide an applicable Grievance Appellate Committee or other statutory appeal mechanism, an eligible person may pursue that remedy subject to the applicable procedure and time limits.
Nothing in this Policy prevents a person from approaching a competent court, regulator, law-enforcement authority or other legally available forum where appropriate.
21. Quarterly User Awareness
The amended IT Rules require intermediaries to inform users at least once every three months, in a simple and effective manner, about important user obligations and the consequences of non-compliance.
BulkVyapar may therefore provide periodic platform or email notices reminding users that unlawful information, impersonation, misuse, prohibited content and other violations can result in removal, suspension, termination or legal consequences.
22. Confidentiality and Privacy During Grievance Handling
BulkVyapar will seek to limit disclosure of grievance information to what is reasonably necessary for review, response, legal compliance or protection of users.
A complaint may nevertheless need to be shared with the affected user, service provider, adviser, regulator or authority where necessary and lawful.
Complainants should avoid submitting unrelated sensitive information.
23. Grievance Records and Audit Trail
BulkVyapar may maintain internal records of complaint receipt, acknowledgement, review steps, action taken, response, timestamps and supporting evidence for security, audit, legal compliance and dispute purposes.
These records are handled according to the Privacy Policy and applicable retention requirements.
24. Changes to this Policy
BulkVyapar may update this Policy to reflect changes in legal requirements, platform processes, complaint categories or internal procedures.
The current version will display an effective date, last-updated date and document version.
